1. Who we are

Mission Memories is run by Workin Fitness Limited, a company registered in England and Wales (company number 15898782), whose registered office is Old Glade Cottage, Felday Glade, Dorking, Surrey, RH5 6PG, United Kingdom.

We are the controller of the personal information described in this policy. It covers the Mission Memories app and our website, missionmemories.app. If you have any questions, email info@missionmemories.app.

2. What we collect

  • Account details: your name, email address and how you sign in (email and password, Apple or Google). Passwords are handled by Google Firebase Authentication; we never see them.
  • Website analytics, if you accept them: the pages and calls to action you use, a pseudonymous session identifier, referring site, campaign parameters and broad device type. We do not include form answers, invite codes or the contents of your event in analytics.
  • Your profile photo, if you add one.
  • Event content: the photos, videos, captions, comments, reactions and tags you add, your puzzle and quiz answers, and your scores. Photos and videos may show other people.
  • Event details entered by hosts: event name, dates, cover photo, missions and guest list.
  • Chats with Mimi, our website assistant: your messages and her replies, the page you were on, and an anonymous id for your browser so we can see your earlier chats if you come back. If you're signed in, the chat is linked to your account.
  • Events you start building on our website: the event type, your description, name, date and missions as you go, and your name and email once you press save, even if you don't finish. We use this to improve the builder and to help if you get stuck.
  • Purchases: the plan bought and the App Store, Google Play or Stripe transaction record, including the email used to pay. We never receive your card details.
  • Messages you send us: your name, email address and message.
  • Device and app data: your push notification token, device type and operating system, language and time zone, app version, how you use the app (for example which screens you open), and crash and error reports.
  • Your choice about marketing emails.
  • Your country: from your phone's region in the app, or from your internet connection when you sign up or create an event on our website. We use it to show prices in your currency and to understand where our hosts are.

We do not collect your precise location and we do not use face recognition.

3. How we use it, and our lawful basis

  • To run your account and the events you host or join (contract).
  • To show your content to the hosts and guests of the events you take part in (contract).
  • To send push notifications about your events (consent: you can turn them off in your device settings or in the app).
  • To email you about events you host or join if you don't use the app: when an event is about to start, a bonus mission set just for you, the results and photos afterwards, and reminders for hosts (to run the service you asked for; reply "stop" to any of them to turn them off).
  • To send you mission ideas, hosting tips and offers, unless you untick the box when you sign up. Every email has an unsubscribe link, and you can turn them off in your profile at any time.
  • To keep the service safe: reviewing reported content, removing harmful content and preventing abuse, fraud and spam (legitimate interests and legal obligations, including under the Online Safety Act 2023).
  • To verify purchases and keep financial records (contract and legal obligation).
  • To fix crashes and improve the app using usage and crash data (legitimate interests).
  • To answer your support requests (legitimate interests).

4. Who can see your content

Content you add to an event can be seen by that event's hosts and guests. Hosts can remove guests and comments from their event, and anyone taking part can report a photo, video or comment. We do not make your content public.

Other users see your name and profile photo alongside the events you take part in.

5. Who we share it with

We do not sell your personal information. With your consent, we use advertising cookies to measure our ads. We use these service providers, who process information on our instructions:

  • Google (Firebase): sign-in, database, file storage, server functions and analytics storage.
  • Expo: push notifications and app updates.
  • Apple and Google: Sign in with Apple and Google, App Store and Google Play payments, and push notification delivery.
  • Vercel: website hosting.
  • Sentry: crash and error reports.
  • Stripe: card payments for plans bought on our website, and for printed frame orders placed in earlier versions of the app.
  • TikTok: if you accept advertising cookies, we use the TikTok Pixel to measure which of our TikTok ads lead people to visit, sign up or download the app.
  • Google Ads: we use the Google tag to measure which of our Google ads lead people to create an event or buy a plan. Until you accept advertising cookies it sets no cookies and only sends Google basic, cookieless signals.

We may also share information if the law requires it, to protect people's safety, or with a buyer if our business is sold (who must protect it as this policy describes).

6. International transfers

Some of our providers process information outside the UK, including in the United States. When they do, we rely on UK adequacy regulations (including the UK–US data bridge) or the ICO's International Data Transfer Agreement or Addendum to protect it.

7. How long we keep it

  • Account details: until you delete your account.
  • Event content: while the event is in use. Free and Party Time events keep photos, videos and comments for up to 3 months after the event; Event of the Season and Host with the Most events keep them for up to 6 months. Please download anything you want to keep.
  • Purchase records: 6 years, as UK tax law requires.
  • Support messages: up to 2 years after your request is resolved.
  • Usage data and crash reports: up to 26 months.

8. Deleting your account

You can delete your account in the app under Profile → Delete Account, or by emailing info@missionmemories.app. This deletes your account, profile, photos, videos, comments, reactions and scores. Events you host on your own are deleted for all of their guests; events you co-host pass to the other hosts.

9. Your rights

Under UK data protection law you have the right to:

  • access the personal information we hold about you;
  • have it corrected if it is wrong;
  • have it deleted;
  • restrict or object to how we use it;
  • receive a copy in a portable format;
  • withdraw your consent at any time, where we rely on consent.

To use these rights, email info@missionmemories.app. We will reply within one month.

If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

10. Children

You must be at least 13 to create an account, and at least 18 to host an event or buy a plan.

Guests at events may photograph people of any age. Only upload photos of other people with their permission, or a parent's or guardian's permission for children. Anyone can report content from within the app or by email, and we will review and remove it promptly.

11. Security

Your information is encrypted in transit and stored with our providers' security controls, and access is limited to people who need it. No system is completely secure, so please use a strong password and keep it to yourself.

12. Changes to this policy

We may update this policy. We will change the date at the top and, for significant changes, tell you in the app or by email.
